Patient Collections Report

This report is only available for organizations with the Patient Billing module.

The Patient Collection Report is available for users with the Patient Billing module in Avea. The report allows a user to track a Patient's A/R by comparing the Good Faith Estimate with any Patient Payments collected. 

Generating the Report

Let's review how to generate the Patient Collection Report.

  1. Navigate to the Reporting section of the system.
  2. At the Organization level, scroll down to Billing Reports and select Patient Collections Report.
  3. Input the filters you wish to generate the report with.
    • Practice: This allows a user to generate a report for specific practices when desired. 
    • Date Type: This can be based on either the Admit Date or the Discharge date. 
    • Start Date/End Date: This instructs the system to generate the report within the timeframe established.
    • Prospective Patients: The report will include Patients who have not been admitted.
    • Archived Patients: The report will include Prospective Patients whose profiles have been archived. 
  4. After selecting the filters you want to generate the report with, select the Download button.

Available Columns and Definitions

Column Type Column Definition Where the information is found
Patient Collection Status This is the Patient's current Collection Status manually set by the user.  Patient Profile > Patient Billing > Statments.
Patient ID This is an optional  alphanumeric ID manually established by a user or the Patient.  Patient > Profile. 
Patient Demographics The report will have individual column for each of the following Patient Demographics: First Name, Last Name, Suffix, Middle Initial, Gender, and Date of Birth. Patient > Profile. 

Most Recent Practice

The report will display the Practice most recent admitted treatment episode.

Treatment Episodes and List

The report will have individual column for both the number of Admitted Treatment Episodes and a list of the Account Numbers assigned to each Treatment Episodes.

Admit Dates

The report will have individual column for the Most Recent Admit Date and a list of the all Admit Dates.

Patient > Treatment Episode > Intake > Admit/Discharge.
Discharge Status The report will have individual column for the Most Recent Discharge Status and list of all Discharge Statuses. Patient > Treatment Episode > Intake > Admit/Discharge.
Total Good Faith Estimate

The report will include the sum of all of the Good Faith Estimates for the Patient. 

Patient > Treatment Episode > Intake > Admit/Discharge.

Patient > Patient Ledger > Total Good Faith Estimate.

Total Patient Payments Collected

The report will include a sum of the Total Patient Payments Collected for the patient.

Patient > Patient  Ledger > Total Patient Payments Collected.

Patient Profile > Patient Billing > Statments > Patient Paid.

Total Good Faith Estimate Balance

The report will include a sum of the Good Faith Estimate Balance.

Patient> Patient Ledger > Good Faith Estimate Balance.

Patient Balance

The report will include a sum of the Patient Balance. 

Patient > Patient Ledger > Patient Balance.

Patient > Patient Billing > Statements > Patient Balance.

Payment Plans Setup

This report will indicate whether the patient has an active payment plan.

Patient > Patient Billing > Collect Payment > Payment Plan.

Payment Plans Planned

The report will include a list of all Payment Plans Planned Amounts, individually. 

Patient > Patient Billing > Collect Payment > Payment Plans > Planned.

Total Payment Plan Duration

The report will include a sum of the duration of all active Payment Plans. 

Patient > Patient Billing > Collect Payment > Payment Plans.

Payment Plan Upcoming Payments Last Date

The report will include a list of the Last Planned Payment Date for each Payment Plan.

Patient > Patient Billing > Collect Payment > Payment Plans > Payment Plan > Details.

Patient Notes

The report will include a list of the most recent note entered by a user. If there are no user notes, then the most recent system note.

Patient > Patient Billing > Statements > Notes.

Patient > Collect Payment > Payment Plans > Create Payment Plan > Notes.

Helpful Hints

  • Viewing the Report: This report will not display and is only viewable through download.
  • Collection Performance: Use this report weekly and monthly to get an overall snapshot of collection performance and identify patients who may require additional collection efforts.
