Create and Manage Services

Creating a service is the first step in creating a billable charge in the RCM. Once the service has been created, a billing profile must be made before a chargeable rate can be assigned. Let's review the first step in the service creation process!

User Permissions

Only users with admin-level profiles can create and manage services. For more information on user profiles and permissions, click here

Section Overview

The RCM creates three types of services: U/R-Required, Standalone, and Non-Medical. The service type instructs the system on how and when a service can be recorded. Once a service has been created, the service type cannot be updated. 

  • U/R-Required: U/R-required services require patients to have a Utilization Plan (authorization) before the service can be recorded. This setting cannot be changed once a service has been created.
  • Standalone (non-U/R required): These services can be recorded in the Attendance Calendar without a U/R plan. However, you can also include an authorization number by creating a single case agreement (service rate). Additionally, an authorization number can be added to a standalone service when recorded using a Combined Service Set.
  • Non-Medical: The Patient Billing module uses non-medical services for private-pay clients. Services created as non-medical instruct the system to generate a private-pay billable when submitting attendance. 

Create Services

Let's review how to create services in the RCM!

  1. From the Practice Admin section, click Services > Create Service.
  2. The Create Service window allows you to enter all necessary information to create a service. image (28).png
    1. Billing Classification: This field will default to Medical/Behavioral for clients using the Patient Billing module. This field cannot be changed once the service is created.
    2. Name: Enter the service name in this field. Click here for our recommended best practices.
    3. Service Description on Patient Statement: Clients using the Patient Billing module should fill out this field so that the system knows what service name to display on patient statements.
    4. Level of Care: Use the drop-down to choose the correct level of care for the service.
    5. Attendance Calendar: Use this toggle to require an authorization plan or service rate for the service. This field cannot be changed once the service is created.
    6. Is Active: Use this toggle to set the service to Active or to deactivate it.
  3. Finally, click Create to complete the process.

Manage Services

Once a service is created, it can be edited and modified as needed.

  1. From the Practice Admin area, click on the desired service.
  2. There are two ways to edit a service date (in addition to the other information):
  3. In order update a service from its original creation, click Baseline.
  4. To update the configuration from a certain date, click Create Scheduled Change Set.
  5. Enter the new effective date and click Save.
  6. Regardless of which method you choose, once you have updated the date, click the pencil icon.
  7. Make the updates to the desired fields.
  8. Finally, click Save to complete the process.

Best Practices

A good service name can make selecting a service or combining reporting data a breeze. Since the name of the service is not how the service will be displayed, we recommend shortening the name to include additional information about the service. For example:

  • Partial Hospitalization Program = PHP
  • Partial Hospitalization Program, a part of the ASAM level of care (LOC) = PHP 3.1
  • Partial Hospitalization Program, a part of the ASAM LOC, broken down by half or full days, can include the rev code = PHP 3.1 (0912)
