Patient Billing User Permissions

Both Organization Admins and Managing Organization Admins can access Patient Billing features without additional permissions. Organization Users, as well as Managing Organization Users, will need extra permissions configured in their profiles to access Patient Billing features in the RCM. 

Available Permissions

Each user profile can be configured with the following permissions:

Work Patient Statements Can be Assigned to Patient Billing None. This permission allows users to be assigned to Patient Statements for follow-up.

  • Issue Refunds
  • Issue Credits/Discounts/Adjustments
  • Can Collect Patient Payments
  • Can Apply Patient Payments
Configure Patient Billing Settings User must be designated as an Organization Admin or higher. None
Configure Private Pay Services User must be designated as a Practice Admin or higher. None

Additional Permissions Available

Workflow

Use the following steps to add Patient Billing permissions to an existing user. If you need help creating a new user, click here for instructions. 

  1. Navigate to Admin > Organization Admin (or Managing Organization Admin, depending on what type of user you are updating) and click Users.
  2. Locate the user profile and click their name to open it.
  3. From the Profile tab, click Edit.
  4. Locate the Can be Assigned to Patient Billing toggle and click it to enable it. This allows the user to be assigned to specific patient billing statements for follow-up.
  5. Scroll back to the top and click Save.
  6. Next, open the Permissions tab and click Edit.
  7. Under Attendance Access, make the following changes when appropriate:
    • Update the dropdown to Edit to enable the user to record Private-pay services.
    • Toggle on Submit to Billing to allow the user to submit treatments to the Work Center.
  8. Under Patient Billing Access, make the following changes when appropriate:
    • Update the dropdown to Edit to enable the user to view the Patient Billables tab of the patient profile.
    • Toggle on Approve New Patient Billables to allow the user to approve newly created patient billables.
    • Toggle on Approve Corrected Patient Billables to allow the user to approve updated billables.
    • Toggle on Can Create Patient Billables to allow the user to create patient billables from private-pay treatments.
  9. Under Patient Payment Access, make the following changes when appropriate:
    • Update the dropdown to Edit to enable the user to view the Payments tab of the patient profile.
    • Toggle on Issue Refunds to allow the user to issue refunds on patient payments.
    • Toggle on Issue Credits/Discounts/Adjustments to allow the user to adjust the balance of an individual billable.
    • Toggle on Can Collect Patient Payments to enable the user to collect and record patient payments.
    • Toggle on Can Apply Patient Payments to allow the user to apply payments to a patient billable.
  10. Under Patient Access, make the following changes:
    Update the dropdown to Read or Edit to ensure the user has access to the Patients section of the RCM.
  11. When all desired permissions have been configured, click Save to complete the process.

Note: Users may need to log out and log back in to use updated permissions.
