Attendance Overview [Beta]

This feature is currently in beta release to a select group of clients and will be rolling out to everyone in the coming months.

Avea is excited to announce the latest beta release for the Attendance section. This update offers users a more comprehensive and flexible approach to recording new treatments and managing existing ones. Let's take a closer look at this release and all of its amazing features!

Filtered Views

In the Attendance section, users will be able to view all admitted patients or filter results to just one patient using the Patient dropdown. Additionally, users will be able to filter the attendance by Payer, Pay Type, Submission Status, Pending Status, and Eligibility Status.

  • Users can filter the Attendance calendar by the patient name. This can done by selecting the Patient dropdown or manually type the patient's name into the search field.
  • Selecting the Payer filter allows users to filter the attendance calendar to display only patients with the specified insurance.
     
  • Users can utilize the Pay Type filter to include Insurance-only patients as well as Private Pay-only patients.
  • Selecting the Submission Status dropdown allows users to filter the Attendance Calendar by Unsubmitted Treatments, Submitted Treatments, or both.
  • Users can utilize the Pending Status filter to display patients with flagged services.
     
  • Selecting Eligibility Status allows a user to filter the calendar based upon the patient's eligibility status.
     

Patient Listings

Patient listings in the Attendance Calendar have new quick links added to make finding and viewing patient information easier than ever. Let's review them and see how they can improve your workflow. 

Selecting the Patient's Name will refresh the calendar to display all recorded treatments for the patient during the current month.

Selecting the Arrow icon will open an additional browser window that opens directly in the Intake section of the patient's treatment episode.
 

Selecting Auto-Fill allows a user to record multiple dates of service at once for U/R required services.
 

Recording Attendance

Our latest release simplifies attendance recording for services. Users can now manually record attendance using two methods. Additionally, bulk recording is available through the Auto-fill and Import features. Auto-fill is an available option for Patients with one or more active U/R Plans. Auto-fill allows users to record multiple service dates at once by comparing a patient's U/R plan to all calendar dates within the plan. The system will automatically record the service for any date that falls within the plan and has not been recorded. Let's review each workflow together.

  • For Standalone Services

    1. Navigate to the Attendance Calendar.
       
    2. Locate the patient and hover over the date you wish to record attendance.
    3. Select the + icon next to Add Service.
    4. Under Service, select Standalone Service.
    5. Select the Facility.
    6. Next, select the service under Standalone Service.
    7. Update the Rendering Provider dropdown.
    8. Under Add Standalone Diagnoses, select the + icon to add the existing diagnosis.
       
    9. If needed, update the Units and add any Treatment Modifiers.
    10. Finally, select Save to finish the process.
       

    For U/R-required Services

    1. Navigate to the Attendance Calendar.
    2. Locate the patient and hover over the date you wish to record attendance.
    3. Select the + icon next to Add Service.
    4. In the Add Service window, select the U/R-required service from the preloaded list.
    5. Select Save to complete the process.

       
  • For Standalone Services

    1. Navigate to the Attendance Calendar.
    2. Select Add Service.
    3. In the Add Service window, select the Patient Name from the dropdown.
    4. If the treatment occurred in the past, update the Service Date by selecting the calendar icon.
       
    5. Under Service, select Standalone Service.
    6. Select the Facility.
    7. Next, select the service under Standalone Service.
    8. Update the Rendering Provider dropdown.
    9. Under Add Standalone Diagnoses, select the + icon to add the existing diagnosis.
       
    10. If needed, update the Units and add any Treatment Modifiers.
    11. Finally, select Save to finish the process.
       

    For U/R-required Services

    1. Navigate to the Attendance Calendar.
    2. Select Add Service
    3. In the Add Service window, select the Patient Name from the dropdown.
    4. If the treatment occurred in the past, update the Service Date by selecting the calendar icon.
    5. Next, select the U/R-required service from the preloaded list.
    6. Select Save to complete the process.

       
    1. Navigate to the Attendance Calendar.
       
    2. Locate the patient and double-click the date you wish to record attendance.
    3. Next, select Auto-fill.
       
    4. Confirm the list of services that will be recorded for the week is accurate.
    5. Finally, select Save to complete the process.
    1. Navigate to the Attendance Calendar.
    2. Select the Download Import Template.
    3. Fill out the attendance template with the information required before selecting save. 
    4. Next, select the Import Treatments tab.
    5. Select Import Treatments.
    6. Follow the steps outlined in this article to complete the process. 

Manage Attendance

In this new update, users can mark certain dates of service to prevent them from being sent to the Work Center for claim creation. This feature is especially useful for those who need to submit Admit-thru-Discharge claims. Moreover, users now have the option to add comments to recorded treatments to provide additional context whenever required. Let's go through how to use each feature and manage existing attendance.

    1. Navigate to the Attendance Calendar.
    2. If the service has been recorded, select the Three Dots icon next to the service.
    3. Select the Padlock icon.
    4. Next, select Un-Submit Treatment.
    5. If service has not yet been recorded, follow the process outlined above.
    6. Next, select the Three Dots icon next to the service.
    7. Select the Flag icon.
    8. Finally, select Save to complete the process.
       
    1. Navigate to the Attendance Calendar.
    2. Next, select the Three Dots icon next to the service.
    3. Update the comment field with the information.
    4. Select Save to complete the process.
  • For Standalone Services

    1. Navigate to the Attendance Calendar.
    2. Next, select the Three Dots icon next to the service.
    3. Select the Padlock icon.
    4. Select Un-Submit Treatment.

    5. Next, click the Pencil icon.
       
    6. In the edit window, make the required changes.
    7. Finally, select Save to complete the process.
       

    For U/R-required Services

    1. Navigate to the Attendance Calendar.
    2. Next, select the Three Dots icon next to the service.
    3. Select the Padlock icon.
    4. Select Un-Submit Treatment.

    5. Next, click the Pencil icon.
       
    6. In the edit window, make the required changes.
    7. Finally, select Save to complete the process.
