Patient Billables

When there is Patient Responsibility from a Closed Insurance Claim or Private Pay service, the system will generate a Patient Billable to track and collect the money owed from the Patient. This is a crucial step in completing the Revenue Cycle.

Viewing Patient Billables

To view any new or existing Patient Billables, navigate to the Patient Profile > Patient Billing > Patient Billables section of the system. 

Patient Billables can also be viewed in the Record Center > Patient Billing > Patient Billables.

Column Definitions

The Patient Billables section allows the user to view the Patient Billables and customize which information is displayed for each billable from the View Columns drop-down.

Name Definition Where to Edit
Control Number This is the Patient Billable claim number. e.g. AV-DTRL-PXXXXXXX.  This cannot be edited. 

Created Date

This is the date the billable was first created.  This cannot be edited. 
Status This indicates the current phase of the billable. A billable has 4 potential statuses: Approved, Created, Processing, and Voided This cannot be edited. 

Source

This column identifies the source of information for the billable. If the source is an Insurance Claim, the claim number will be embedded within this column. This cannot be edited. 

DOS Start and DOS End

These columns indicate the first Date of Service and the last Date of Service of the billable. Attendance Calendar.
Service This is name of the rendered Service(s.) Practice Admin > Services > Service.
Units This is the number of times the service was rendered. Attendance Calendar.

Total Charge

This is the total Patient Responsibility from the Closed Insurance Claim or Private Pay services rendered. 

Payment Collection > Payment.
Practice Admin > Facilities > Facility > Facility Services.

Ins Paid

(Facility)

This column will display the amount paid directly to the facility. Payment Collection > Payment.
Ins Discount  This column will display the sum of all CO-45 adjustments applied to the source claim/payment.  Payment Collection > Payment.
Ins Adjusted This column will display the sum of all CO (except 45), CR, PI, and OA-100>  adjustment codes.  Payment Collection > Payment.
Deductible, Co-Ins, and Co-Pay This column will display the sum of the deductible, Co-Ins, and Co-Pay. Payment Collection > Payment.
Additional PR This column will display the sum of any PR and OA-100< adjustment codes.  Payment Collection > Payment.
Ins Paid (Patient) This column will display the sum of any PR-100 and OA-100< adjustment codes that indicate the patient/subscriber was paid directly.  Payment Collection > Payment.

Provider Adjusted

This column will display any financial adjustments applied to the billable.  Patient > Patient Billing > Patient Billables.
Patient Paid This column will display the sum of all payments made by the Patient that have been applied to the billable. Patient > Patient Billing > Payments.
Patient Amount Due This column will display the remaining balance (Charges - Adjustment + Patient Payments) of the Patient Billable.

Closing Billables

Let's review how to close a Patient Billable.

Closing an Individual Billable

  1. Navigate to the Patient > Patient Billing > Patient Billables section.
  2. Identify the Patient Billable you wish to close and locate the Close option by scrolling right.
  3. Select Close.
  4. In the Close Billable screen, select the Reason for the closure before selecting Submit.

  • Note: When the Patient Amount Due is reduced to $0, the billable with close automatically.

Closing Multiple Billables

  1. Navigate to the Patient > Patient Billing > Patient Billables section.
  2. To only close some Patient Billables, identify the ones you wish to close by selecting the box next the the Control Number.
  3. After you have made your selections, select the Bulk Close Billables button.
  4. In the Bulk Close Billables screen, select the Reason for the closure before selecting Submit.
  5. To close all Patient Billables, the Close All Billables button.
  6. In the Close All Billables screen, select the Reason for the closure before selecting Submit.
