Connecting AveaOffice and Alleva

Alleva is an EHR software that integrates into AveaOffice. The current integration allows for patient demographics, treatment episode information, and insurance information to import into AveaOffice. Below, you'll find steps for setting up the integration and specific fields that the integration supports.

Set-up needs for Alleva Integration

Work with your Onboarding Specialist to set up an API user account that will connect Alleva and AveaOffice.

  1. Unique email address for API user
  2. Set up the account for API user (username, password)
  3. Organization ID

Once this information is obtained, work with your Alleva point of contact to set up the Alleva side of the integration with the above information. Be sure to store the username and password in a secure location because the password for the API user will follow our standard password policy and need to be updated every 90 days.

Which fields are imported from Alleva?

Information is imported from Alleva into AveaOffice when the Alleva prospective patient is “converted to patient”. A process to ensure all information is updated before conversion may need to be put in place.

There are a few key fields that are imported into AveaOffice listed here:

Patient Demographics

  • First Name
  • Last Name
  • Gender (required for patient import)
  • Birthday
  • Marital Status (not required for patient import)
  • Patient Address
  • Phone
  • Email
  • Associated Practice (Automatic based on Alleva configuration)

Insurance and Subscriber Information

  • Effective Date of Policy
  • Electronic Payer ID and Payer Name (must use non-custom payers from the default list in Alleva)
  • Subscriber First Name
  • Subscriber Last Name
  • Subscriber Relationship
  • Insurance ID
  • Insurance Group Number

Emergency Contact Details

  • Emergency Contact Name (ROI Contact in Alleva, marked as the primary and emergency contact)
  • Emergency Contact Email
  • Emergency Contact Phone Number
  • Emergency Contact Relationship

Admit and Treatment Episode Information

  • Admit Date - Creates Treatment Episode
  • Admit Time
  • Admit Source
  • Admit Type

Discharge Information

  • Discharge Date - Initially sent as the Anticipated Discharge Date. Once the Discharge Planning is complete and the patient truly discharges, this date is replaced as the true Discharge Date with Discharge Status, Date, and Time.

Diagnosis Codes

  • Diagnoses Codes
    • The first code entered will be input as admitting
    • The second code entered will input as principal when marked as “Primary”
    • The third code entered will be input as other and so on
